Customer Data

How easy will it be to import my client list?

Very easy. We’ll help you import your database and automatically remove any duplicate or incomplete addresses. We can import directly from an Excel spreadsheet or from any data management software you use. In addition, if you have a CRM (Customer Relationship Management) system, it can easily interface with BYM through a .net web service. You can also update and add new contacts in seconds with BYM.

How do you keep data secure?

BYM is a secure system that you can use with confidence. All your client data is kept completely confidential and access is controlled using secure encryption and authentication.

Will BYM work with my CRM (Customer Relationship Management System)?

Yes. BYM can use the information your CRM has gathered to full effect, and can also help update your CRM client profiles.

Team creation

Who can contribute to my Intelligent Newsletters?

Because BYM is operated via standard web-browsers, you can invite anyone to contribute an article, idea, or piece of news. You can harness the knowledge of your entire organisation, inviting contributors to submit articles in their field of expertise. You can also invite external contributors to submit articles, for example, your marketing agency, or industry experts.

How many people do I need to use BYM?

The entire system can easily be operated and managed by one person, or by a team of hundreds of contributors - whatever suits you best.

How do you keep the approval process secure?

Editorial and security control is assured by giving approval rights to key individuals. Articles and newsletters can only be sent out if they have final approval from an administrator within your company.

What different kinds of users can I have in my BYM team?

Users are divided into three categories to keep the approval process secure and traceable. The three user categories are Authors, Sub-editors and Editors.

Authors only have permission to create articles in their field of expertise. You can have as many Authors as you like, each with their own unique username and password.

Sub-editors within your team can review, edit and reject articles submitted by your Authors, before sending them for final approval to your Editor. Sub-editors also have their own unique username and password.

Only your Editor has final say over what is distributed to your client database - an article cannot be distributed without their final approval. Editors can also amend and review articles prior to distribution. Editors also have their own unique username and password.

Can my team contribute from anywhere in the world?

Yes. Because BYM is operated via standard web-browsers, you can invite anyone in your organisation to contribute, from anywhere in the world with internet access.

Feedback and statistics

What statistical feedback does BYM provide?

BYM has a sophisticated statistics engine which informs you what each user has accessed - in real-time. You can assess the popularity of articles on a group or individual level, view click-through rates and gauge client response. This information can then be used to accurately measure the interests of your market, and improve your client relationships.

How can I use BYM feedback to improve future client communications?

Real-time statistics will help you understand your clients and what their true requirements are. It's easy to refine your analysis to discover which articles a specific client or group has accessed, see how many times they have visited, and which additional articles on your website they have also viewed. With these reliable indicators at hand, you can improve the relevance of your client communications and increase your sales, by targeting clients based on what they have found useful or appealing.

Will BYM work with Google Analytics?

Yes. We understand the importance of accurate web statistics, so BYM provides an interface into Google Analytics to highlight the pages of most interest to your clients.

Client profiling

How easy is it to profile my client list?

Very easy. Our list-management system also allows you to quickly profile your clients based on your preferred criteria - such as purchase history, location, or personal preferences. If you already categorise your clients in a specific way BYM can also use the same profiling criteria.

How do clients edit their profile?

Your clients can sign in at any time to update their profile via their web browser - this opportunity to feedback ensures clients are only sent information that is truly relevant to them. By sharing control of what information your clients receive, BYM keeps your clients interested and subscription rates high.

Can I ensure clients don’t opt-out of information categories they will require?

We appreciate that there may be information that all customers need to be made aware of e.g. holiday periods or price increases. BYM allows you to create private fields which customers are unable to de-select from their profile of interests.

Look and feel

How do I control how articles look and feel?

Creating web pages that look good in different web browsers is easy with our templates. As part of our set-up service we’ll provide you with free templates which follow the structure of your website, integrating seamlessly with your existing look and feel.

How can I ensure all of my contributors are working to the same standards and style guidelines?

By automatically bringing articles together centrally to be edited and approved, you can be sure your Intelligent Newsletters are always produced to a professional standard, in accordance with the guidelines of your organisation.

Costings

What payment structures are available for BYM?

We keep our billing simple. With BYM you pay a flat monthly fee to use our service - which means you can send as many Intelligent Newsletters as you like. The monthly fee will be based on the number of contacts in you database.

Can I have a short, medium or long-term contract?

Yes. Our payment plans are designed with you in mind. Simply choose how long you’d like to use BYM and sign up for that period of time.

How long does it take to become a proficient user of BYM?

It only takes a few minutes to become a confident, proficient user. As part of our new customer process we’ll take you through everything you need to know. We’ll even import your contacts for you and help you set up your client profiles.

Is there any software to install?

No. BYM is controlled from your standard web browser (like Internet Explorer), so there’s no software or updates to install. You can also sign in and use BYM from any machine you choose, from anywhere in the world - it’s that simple.

How does BYM link to my website?

We know website updates are a bone of contention in some companies, so we put our thinking caps on to find a simple way to post your articles on the web without hassling your website manager.

In technical terms, we don’t touch your website - we simply duplicate your menu bar and masthead (the bit at the top of your website). Your clients feel like they’re on your website, when they’re actually in a special BYM web page. With BYM you can post an article and update it at any time without bothering your web manager ¬- it’s that simple.

All your website links will continue to work, and your client can easily switch seamlessly between BYM web pages designed by you, and information on your ‘real’ website, without ever realising there’s a difference.

Do I need any programming or web development skills?

Should I tell my website manager about BYM?

Feel free to let your website people know about BYM - but reassure them we won’t touch their website in any way, or ask them to do any additional work. If they have any further queries then feel free to point them in the direction of Technical Briefing.
